By accessing or using MedFlow ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms constitute a legally binding agreement between you ("Client", "you") and MedFlow Ltd ("MedFlow", "we", "us").
MedFlow is an AI-powered clinic automation platform providing: patient communication automation (WhatsApp, Instagram), quote generation and tracking, appointment scheduling, deposit tracking, follow-up sequences, patient CRM, staff management, and analytics. The Service is designed for medical and aesthetics clinics.
You must provide accurate, complete information when registering. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account. You must notify us immediately of any unauthorised use.
Prices are exclusive of applicable taxes (VAT, sales tax). We reserve the right to change pricing with 60 days written notice.
Payment is due on the billing date. We accept payment via Stripe. If payment fails, we will attempt to collect 3 times over 10 days. If payment remains outstanding after 14 days, your account may be suspended. After 30 days of non-payment, we may terminate your account.
You may cancel your subscription at any time with 30 days written notice to billing@medflowai.io. Cancellation takes effect at the end of the current billing period. No partial refunds for unused portions of the billing period.
We offer a 30-day money-back guarantee for new subscribers. If you are not satisfied within the first 30 days of your initial subscription, contact us for a full refund. After 30 days, no refunds are provided.
You agree to use the Service only for lawful purposes. See our Acceptable Use Policy for full details.
Your data is yours. The clinic retains full ownership of all patient data entered into MedFlow. MedFlow does not claim any ownership rights over your data. We process your data solely to provide the Service as described in our Data Processing Agreement.
MedFlow owns all rights to the software, design, features, and documentation. Your subscription grants you a non-exclusive, non-transferable licence to use the Service for the duration of your subscription.
Both parties agree to keep confidential any non-public information received from the other party. This obligation survives termination for 2 years.
To the maximum extent permitted by law, MedFlow's total liability for any claim arising from the Service shall not exceed the total fees paid by you in the 12 months preceding the claim. MedFlow is not liable for indirect, incidental, special, consequential, or punitive damages.
You agree to indemnify MedFlow against any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your violation of applicable data protection laws.
We target 99.9% uptime. Scheduled maintenance will be communicated 48 hours in advance. We are not liable for downtime due to force majeure, third-party service failures, or circumstances beyond our reasonable control.
Either party may terminate with 30 days written notice. MedFlow may terminate immediately for material breach. On termination: (a) you may export your data within 30 days, (b) after 30 days all data is permanently deleted, (c) no refund for unused subscription time.
We encourage you to contact us first to resolve any dispute. If unresolved, disputes shall be subject to mediation before litigation.
These Terms are governed by the laws of England and Wales. The courts of England have exclusive jurisdiction, except where mandatory local law provides otherwise:
